Loan Document Specialist | Viroqua

A Citizens First Bank’s Loan Document Specialist provides a variety of loan support duties, primarily reviewing loan files for compliance with Bank policies, procedures, and regulations. This person assists in providing efficient, effective, accurate, and professional services to internal team members, and customers as required, and responds to inquiries and problem solves loan related issues.

Responsibilities:

  • 1. Reviews documentation to ensure appropriate lending approvals were received. Ensures compliance requirement are satisfied, approval conditions were met, collateral is collected with evidence of insurance when applicable, and documentation is properly executed after loan closing and funding. Coordinates the contacting of customers to obtain missing documentation with lending team.
  • 2. Verifies accuracy of data used for the completion of loan documentation. Notes exceptions to loan policy.
  • 3. Prepares files for imaging, reviews and maintains loan documentation and account information for all types of loans. Processes weekly information and documentation received from the Branch locations.
  • 4. Generates and reviews document exception reports and provides to appropriate parties. Following up on those items that need to be investigated.
  • 5. Completes due diligence and compliance related searches on borrowers and collateral.
  • 6. Ensures appropriate loan fees were assessed and payments to third parties are processed.
  • 7. Verifies and moves loan documentation in imaging to appropriate files.
  • 8. Process and typing of denied loan notices, and small claims court filings.
  • 9. Provides customer service by assisting customers regarding loan payments, and answers questions from internal and external customers, and troubleshoots issues.
  • 10. Keeps track of received data and source documents.
  • 11. Remains highly informed on current Bank policy and related rules and regulations.
  • 12. Cross trains other team members for back-up support as needed.

Secondary Duties:

  • Assists with special projects as needed.
  • Supports the sales culture of the Bank by seeking opportunities to promote Bank products and services.
  • Performs other duties as may be assigned

Role Qualifications:

Education

  • High school diploma or general education degree (GED)

Experience

  • A minimum of 1 year of accounting, customer services, and/or administrative support experience

Working Conditions:

Work is performed largely within the Bank in a desk setting with limited chance for personal injury. Prolongedand frequent mental and visual concentration required. Periodic stressful situations in response to multiplepriorities within established deadlines. Work hours are generally during normal business hours. Unscheduledevening and weekend work may be needed to meet the needs of customers and employees. Occasional travelbetween offices may be required. Must be able to lift and move up to 20 pounds of office supplies andequipment. Some bending, turning, and twisting required.
